Influencer Account Coordinator – ACTIVE

Shift: Full Time, Monday to Friday, 9:00am to 6:00pm, including a 1-hour unpaid lunch break.

Role Overview:

Nelson runs an influencer marketing agency and needs an Influencer Account Coordinator to take full ownership of day-to-day campaign coordination, influencer administration, documentation and logistics. This role is a critical support pillar that removes operational load from the Directors and Account Managers, freeing them up to focus on strategy, growth and client relationships.

You’ll be the go-to person keeping every campaign organised end to end – from setup through to reporting – while managing the day-to-day relationship with the influencers involved.

Primary Mission

Own the operational backbone of every influencer campaign – coordination, outreach, contracts, content approvals, logistics, payments and reporting – so leadership can stay focused on client relationships, high-level strategy and business growth.

Key Responsibilities

Campaign Setup & Administration

  • Assist in setting up new influencer campaigns inside Monday.com.
  • Create and maintain campaign folders in Google Drive, influencer tracking sheets and content approval documents.
  • Populate campaign details including budget, deliverables, timelines, usage rights and posting requirements.
  • Ensure every campaign is fully structured before influencer outreach begins.

Influencer Outreach & Communication

  • Manage email outreach to influencers, including initial contact, follow-ups, availability checks and deliverable confirmations.
  • Act as the primary day-to-day contact for influencers once approved.
  • Answer basic influencer questions about timelines, posting schedules and content expectations.

Negotiation & Contract Support

  • Assist with rate discussions, deliverables clarification and usage rights confirmation, logging agreed terms clearly in Monday.com and campaign sheets.
  • Escalate complex negotiations to the Account Manager / Founder.
  • Prepare influencer agreements once rates are approved and collect full legal name, ABN, address and bank account details.
  • Ensure contracts are signed, stored correctly and logged, and follow up on outstanding agreements.

Onboarding, Scheduling & Content Approval

  • Onboard influencers into each campaign, confirming briefs, deadlines and content expectations.
  • Manage posting schedules, content delivery dates and reminder messages so creators stay on track.
  • Maintain Content Review & Approval Sheets, tracking draft submissions, review status and required revisions.
  • Send feedback to influencers and confirm final approvals before posting.

Logistics & Product Delivery

  • Coordinate product seeding and campaign logistics, confirming delivery addresses, timelines and tracking numbers.
  • Communicate delays or issues to the internal team and ensure products arrive in time to meet posting deadlines.

Payments, Reporting & Platform Management

  • Track posting dates, payment eligibility and invoice requirements, coordinating with the finance team for timely, accurate payments.
  • Collect post-campaign data (views, engagement, reach, screenshots, backend analytics) and populate client reports on time.
  • Keep Monday.com, Google Drive and other internal systems accurately updated, with consistent file naming and folder structure, flagging missing information or issues.

Talent Outreach & Marketing Support

  • Support outreach on behalf of creators managed by the company using approved templates, tracking activity and follow-ups in Monday.com and escalating responses to the Account Manager / Founder (execution and tracking only – not strategy or deal-closing).
  • Assist with marketing initiatives such as newsletters, campaigns and promotional materials, plus social content ideation, research and script writing.
  • Support preparation of presentations, case studies and business development assets, and monitor influencer marketing and social media trends.

Required Skills

  • Experience in influencer marketing, campaign coordination, account management or a similar operations/admin role.
  • Strong written communication for outreach, negotiation support and stakeholder follow-up.
  • Comfortable managing contracts, ABNs and bank details with accuracy and confidentiality.
  • Experience with Monday.com (or similar project management tools) and Google Drive file organisation.
  • Strong organisational skills, able to juggle multiple campaigns, deadlines and moving parts at once.
  • Comfortable with basic finance/invoice tracking and reporting.
  • Proactive – able to flag issues, gaps and risks without being asked.

Nice to have:

  • Experience in the creator economy, talent management or social media marketing.
  • Copywriting or content creation experience.
  • Familiarity with influencer contract and usage-rights terms.
