We are a Melbourne-based strategic bookkeeping and BAS agent practice. Our mission is to provide up-to-date and accurate bookkeeping, while also giving clients education and support to build their dream business and life.
Our expertise in Xero allows us to efficiently manage financial data and streamline processes for our clients through integration with industry-specific software such as ServiceM8, Preno, and Splose. We pride ourselves on our fully systemised practice, recognising it as the essence of a successful business.
About the Role:
We’re looking for an exceptional Senior Bookkeeper who knows Australian GST like second nature – including nuanced issues like insurance GST splits – and is confident navigating the ins and outs of Xero Practice Manager and Dext Prepare.
You’ll work closely with Sandra (Director) to support a growing portfolio of clients and keep the engine room of the business humming.
This isn’t a passive data-entry job. You’ll be empowered to own the details, chase the paperwork, query client transactions, and push back professionally until the numbers add up. You’ll build rapport with small business clients and maintain high-quality outcomes through rigour, tech know-how, and good old-fashioned common sense.
Key Responsibilities:
- Maintain accurate financial records in Xero for multiple small business clients.
- Apply deep knowledge of Australian GST and various GST treatments according to the Australian Taxation Office.
- Review and reconcile accounts, flagging inconsistencies and proactively following up with clients until resolved.
- Complete bank reconciliations promptly and with accuracy.
- Prepare and lodge BAS/IAS and related financial reports under Sandra’s guidance.
- Process fortnightly/monthly payroll and superannuation, including Fair Work Award (nice to have) interpretation, allowances, and leave entitlements.
- Use Dext Prepare to reconcile tax invoices and publish to Xero
- Use Dext Precision for data quality assurance and diagnostics.
- Manage and track workflows within Xero Practice Manager.
- Produce monthly management reports and dashboards by the deadlines.
- Maintain and update client System Operating Procedures (The Client Way)
- Engage confidently with clients — building relationships while tactfully requesting missing data.
- Deliver error-free, client-ready bookkeeping outputs with precision and care.
- Provide clear, timely written updates (daily/weekly check-ins; 24-hour response to clients during business hours).
Mandatory Criteria (Must Haves):
- 5+ years’ bookkeeping experience with Australian clients.
- Strong knowledge of Australian tax law, GST, payroll compliance
- Xero Certified Advisor (must hold current Xero Certification).
- Advanced proficiency in Xero and add-ons (Dext, Xero Practice Manager).
- Proficient in Microsoft applications — including Word, Excel, Teams, and OneDrive.
- Tech-savvy and adaptable, with proficiency in Excel (including pivot tables).
- Confident communicator — able to push back politely but persistently with clients until issues are resolved.
- Demonstrated problem-solving ability, using common sense and logic.
- Can work and think independently without relying on constant instruction.
- Exceptional attention to detail and accuracy under pressure.
- Excellent written English communication skills.
- Comfortable documenting and following SOPs.
- IT Equipment — must have a reliable computer setup with dual monitors to enhance efficiency and productivity, as the role involves viewing multiple applications and dragging and dropping documents simultaneously.
Sretch Criteria (Nice to Have) :
- Xero Payroll Certification (in addition to core Xero Certification).
- Experience with ServiceM8 (job management), Scribe (SOP/documentation), and using ChatGPT for workflow efficiency.
- Familiarity with multi-entity bookkeeping and intercompany transactions and Fair Work Awards.
- Exposure to CFO-style advisory reporting (cashflow, budgets, forecasting).
- Previous experience working in a remote, offshore team.
