We are seeking a versatile and proactive Virtual Assistant to manage a variety of tasks, including customer support, lead outreach, general administration, and basic bookkeeping. In this role, you will be responsible for handling customer inquiries, engaging with potential leads, and performing essential administrative duties to ensure the smooth operation of our client’s business. Additionally, you will maintain accurate financial records and provide support in bookkeeping tasks. This position requires strong organizational skills, excellent communication, and working independently in a remote setting.
VA Role Overview:
Customer Support (High Priority)
- Customer Inquiries
- Customer Support, Live Chat & Instant Messenger
- Processing Orders
- Billing and Technical Support
Lead Outreach
- Lead Outreach via Text
- Lead Outreach via Call
- Sales admin (lead follow-up, appointment setting)
- Must understand reporting for conversion and strategies
General Administration
- Database Management
- Document storage and organisation
- Email Management eg Filter emails and manage spam
- Calendar Management eg Set appointments and manage calendar
- Answer customer service emails and chat support
- Making meeting and event arrangements
- Organize and file documents
- Update spreadsheets and
- Create and update reports
Basic Bookkeeping
- Send client invoices and reminders
- Payment follow-ups and assistance
General Qualifications:
- Backend admin (invoicing, payments, student management), requires around 4-6 hours per day, 5 days a week
- Sales admin (lead follow-up, appointment setting)
- Flexible hours to cover extended availability
- Ability to handle increased lead volume (up to 30/day)
- VAs should have 1-2 years of experience, proficient with Google Suite
- 1-2 week training period needed for new VAs to learn processes
This role requires experience and knowledge of the following Apps:
- Google Suite (Docs & Sheets)
- Stripe and Bank for Client Payment processing
- Zoom
*Training provided on unfamiliar software

Minimum Technical Requirements:

Back up internet (a MUST): Fast internet and Mobile Data (Personal Hotspot)
