Job Description
Assist with marketing execution, CRM management, data entry, and content scheduling.
Potential for Growth: The role and hours could potentially increase over time as the company identifies more tasks to delegate.
Training: Willing to provide some training, particularly on ZoomInfo, but expects the VA to have existing HubSpot skills.
Key Responsibilities:
Priority Tasks (Must-haves):
- HubSpot Management (Marketing Hub): This is the top priority. The VA needs to be comfortable with the marketing hub, including email marketing, report extraction, and general platform navigation. They don’t necessarily need to create the marketing content, but they need to be able to use HubSpot effectively.
- ZoomInfo Management: While not as critical as HubSpot, experience with ZoomInfo is highly desired. Tasks would include contact list management, finding specific titles/information for businesses, and uploading data. Training is a possibility if the candidate has basic computer skills and is willing to learn.
Secondary Tasks (Nice-to-haves/Future Tasks):
- Social Media Management: Initially, this might involve scheduling pre-created content rather than creating the content itself.
- Admin/Data Handling: This is a lower priority initially, but could include data entry and other administrative tasks. It’s expected that these tasks might be assigned after the VA is comfortable with the primary responsibilities.
OTHER INFO:
1. Marketing & CRM Support:
- Manage and update HubSpot CRM (data entry, segmentation, automation).
- Pull data from ZoomInfo and clean databases.
- Assist with email marketing (cold outreach, newsletters, campaign execution).
- Work with ListKit for outbound email sequencing.
2. Content & Social Media Management:
- Schedule and manage LinkedIn posts and newsletters.
- Upload and organise video content from the CEO’s site visits (StoryY platform).
- Support Canva-based designs for marketing materials.
- Coordinate with external video editors and marketing agencies.
3. Administrative & Data Handling:
- Assist in data processing, research, and reporting.
- Provide support for event-related tasks (upcoming company event).
- Handle SOP creation for marketing and sales processes.
4. Future Expansion Possibilities:
- Finance/Admin Support: Potentially assist with Carta updates, invoicing, and investor reporting.
- Podcast Support: Manage uploading and scheduling of podcast content.
- SEO & Blog Management: Assist in optimising and structuring content for search visibility.

- Marketing & CRM: HubSpot, ZoomInfo, ListKit
- Social Media & Content: LinkedIn, Canva, StoryY (video upload platform)
- Email Marketing: HubSpot, outbound cold email campaigns
- Administrative & Other Tools: Zero Balance, Carta (finance-related tasks)

Minimum Technical Requirements:

Back up internet (a MUST): Fast internet and Mobile Data (Personal Hotspot)
