Human Resources + Admin Support VA
Role Overview:
We are seeking a highly motivated and organized Human Resources + Admin Support Virtual Assistant to join our team. In this dynamic role, you will play a crucial part in ensuring smooth operations within the company by addressing service tickets, conducting internal inquiries, building strong relationships with stakeholders, and assisting in staff development. Your dedication and attention to detail will contribute to the overall efficiency and success of our organization. Work hours:
7am- 4pm Philippine time / Full- time shift (Monday – Friday)
This role requires experience and knowledge in the following Apps: (*training provided on unfamiliar software)
- Slack
- Hubspot
- Google Workspace
- ClickUp
- Notion
- ChatGPT (Or any AI Tools)
- High Proficiency in Google Sheets is an advantage

VA Task Overview
- Service Ticket Management: Attend to issues raised in a timely and thorough manner to resolution
- Managing check-in schedules within the team to ensure smooth progress and proper documentation of performance evaluations
- Document staff progress based on service feedback
- Make recommendations for staff upskilling and any resource support to ensure consistent growth and productivity
- Liaising between stakeholders and company departments in ensuring that proper communications are sent, received, and actioned in a timely manner
- May assist in onboarding new staff and clients
- Keep all meeting notes updated in Hubspot (CRM)
- Calendar management for Admin Internal meetings
- Propositions of Initiatives and Small Projects in collaboration with the internal team of the company to improve both employee and client experience
- Offboarding of outgoing staff and/or clients
- Support the Client Relationship Manager with some ad hoc tasks
Skills Required:
- Strong written, verbal & listening communication skills
- Patience and empathy in connecting and building relationships with staff, clients and stakeholders
- Good listening and note-taking skills
- Diligent and highly organised personality, who is skilled at concisely documenting key points to be shared with other teams
- Willingness to grow and evolve in the role by taking on challenges and responsibilities.
- Initiative and accountability in developing ideas to improve or update company policies.
- Strong problem-solving skills to be able to identify and solve problems efficiently. This includes thinking critically to come up with creative solutions to problems.
- In the future, the successful candidate may be groomed to be a trainer for new staff members.

Minimum Technical Requirements:

Back up internet (a MUST): at least Mobile Data (Personal Hotspot)
