Role Overview:

We are in search of a highly resourceful and meticulously detail-oriented individual to join our team as an Executive Admin Assistant VA + Customer Ticket Management Virtual Assistant. In this pivotal role, you will play a crucial part in providing impeccable administrative support to our executive team and seamlessly overseeing the management of customer tickets. Your contribution will be instrumental in ensuring the swift resolution of customer concerns, allowing our executives to dedicate their time to strategic endeavors.

Work hours:
8 am- 5pm  Melbourne time / Full- time shift 5 days a week -VA can pick the shift days but important is there is one day weekend schedule or willing to work hrs during the weekend.

This role requires experience and knowledge in the following Apps: (*training provided on unfamiliar software)

  • Slack
  • Front
  • Xero
  • Video Editing tools
  • Linear similar to Jiro

VA Task Overview

  • IT Support
    • Tickets
      • requests
      • Enquiries
    • Support, Live Chat & Instant Messenger
    • Technical Support
    • Update links to redirects
    • Find replacement social media posts for broken embed
  • Administration
    • Add alt text to images
    • Follow up with staff to ensure they have completed all their compliance via Vanta (compliance software)
    • Completing questionnaires
    • Reviewing contracts (preferred)
    • Access management
      • Onboarding/offboarding
    • Assisting with Phrase (translation software)
    • Making meeting and event arrangements eg retreat planning
    • Transcriptions
    • Organise and file documents
      • Updating docs with new UI
      • Content migration
  • Video and Audio Editing
    • Basic video & audio editing for internal work processes and instructions
  • EA and Personal Administration
    • Leave management
      • Backdating leave (Leave accruals sheet/formula RP created)
    • Support
    • Meeting notes
    • Invoices
    • Video proof

Skills Required:

  • IT support
  • Administration
  • Basic video and image editing
  • *Over time, the VA may be asked to assist with Xero bookkeeping tasks

Minimum Technical Requirements:

Internet Speed: Download: 20MBPS Upload: 5MBPS (will be checked during Zoom interview)

Computer Specs: i3/Ryzen3 or equivalent, with at least 8GB RAM (will be checked during Zoom interview)

Back up internet (a MUST): at least Mobile Data (Personal Hotspot)
