Overview

What is the client/business?

The client is a CFO and bookkeeper who provides financial management services to tradies. She runs her own business and is currently handling all aspects of her work independently, including bookkeeping, client management, and administrative tasks. This has left her at capacity and unable to focus on growing her business or taking on new clients. She is looking for virtual assistant (VA) support to help streamline operations and free up her time to focus on strategic tasks like marketing and lead generation.

Job Description

The client requires a part-time VA (20 hours/week) with experience in bookkeeping and administrative tasks to assist with data entry into Xero, document & email management, client communication, and monitoring online forums, and assistance with basic marketing.

Key Responsibilities:

  • Bookkeeping Support (with Training): Basic reconciliation, data entry, bills processing and routine tasks.
  • Client & Email Management: Respond to inquiries and create step-by-step instructions for clients.
  • Create processes & procedures: Assist with the documenting and creation of internal processes and procedures
  • Social Media & LinkedIn: Manage her social media accounts and improve LinkedIn engagement. (the VA needs to start and own this project since this will be new).
  • ServiceM8 Forums: Monitor and respond to inquiries related to ServiceM8

Soft Skills: 

  • Strong personality and ability to be direct/blunt – Client wants someone who can tell her what they need from her or if something is not working for them
  • Accountability – Client needs someone who will hold her accountable and ensure important tasks don’t get missed.
  • Proactiveness – Client wants the VA to be able to jump in and complete tasks without constant oversight, especially when she’s busy.
  • Adaptability – The role involves a mix of bookkeeping, admin, and marketing tasks, so the VA needs to be able to handle a variety of responsibilities.
  • Communication skills – The VA will need to communicate effectively with Client as well as her clients, providing clear instructions and updates.
  • Patience – Client acknowledges she can be blunt, so the VA will need to be able to be open and honest with her as well.

Tools: 

  • Accounting: Xero (primary), QuickBooks Online
  • Project management: ServiceM8 (certification may be arranged if needed)
  • Communication: Gmail, Google Chat
  • Task management: Trello (currently set up, may be optimised)

Minimum Technical Requirements:

Internet Speed: Download: Minimum 50MBPS, Upload: Minimum 20MBPS (will be checked live during your Zoom interview)

Computer Specs: 16GB RAM computer (Windows OS or M1/M2 Mac).

Back up internet (a MUST): Fast internet and Mobile Data (Personal Hotspot)
