Role Overview:

We are seeking an experienced and highly organized Advanced Executive Assistant and CRM Management Virtual Assistant (VA) to provide comprehensive support to our executive team and manage our Customer Relationship Management (CRM) system. The ideal candidate will have a proven track record in executive assistance, exceptional organizational skills, and expertise in CRM systems. This role requires a proactive individual who can handle various administrative and CRM-related tasks with efficiency and professionalism.

Work hours:
Monday to Friday from 9 AM to 5 PM PH time

Salary: starts at AUD $1200 per month

This role requires experience and knowledge in the following Apps: (*training provided on unfamiliar software)

    • Xero – a MUST(Bookkeeping)
    • Asana (project management)
    • Dext (Client/Customer Invoice and Receipt Logs & Management)
    • Evernote (SOPs)
    • *Deputy (Payroll)
    • *Ignition (engagement software)
      *Training will be provided on these highly niched/unfamiliar software, but experience in similar tools is an advantage
VA Task Overview

Basic Bookkeeping (Priority)

  • Account management (cashflow and receipts tracking)
  • Send client invoices and reminders
  • Data entry
  • Create and update reports
  • Upload receipts (DEXT)
  • Bank Reconciliation
  • BAS
  • If you have experience with Au and/or NZ Taxation, kindly mention in your cover letter Au NZ taxation an advantage (add in skills requirement BOLD)

Administration (Second Priority)

  • SOPs/Looms
  • Data Entry
  • Email Management eg Filter emails and manage spam

Ideal Candidate Qualities:

  • Proficient in Xero and Dex:
  • Skilled in Xero for invoicing, payroll, and reporting.
  • Experienced with Dex (Dext) for expense management and data extraction.
  • Exceptional organizational skills, maintaining orderly records and documents.
  • Strong attention to detail and effective time management
  • Strong critical thinking and problem-solving abilities.
  • Clear and concise communicator, both verbally and in writing.
  • Collaborative, fostering a positive work environment.

Minimum Technical Requirements:

Computer Specs: i3/Ryzen3 or equivalent, with at least 8GB RAM (will be checked during Zoom interview)

Back up internet (a MUST): at least Mobile Data (Personal Hotspot)
