Job Description
Seeking a full-time, experienced angel for admin tasks, client onboarding, and social media management.
Key requirements: calendar/inbox management, Zoom concierge, social media engagement, and proactive communication
Key Responsibilities:
- Primary tasks: calendar/inbox management, client communication, and social media management
- Daily routine:
- Morning: Inbox cleanup, appointment checks, action item follow-ups
- Ongoing: Calendar management, social media engagement, live stream prep
- Additional: Video content organisation, admin tasks as needed
Other responsibilities (other details):
- Calendar & Inbox Management
- Clean up inbox daily
- Schedule and manage appointments
- Follow up on action items
- Client Communication & Onboarding
- Engage with clients proactively
- Support during live Zoom sessions (concierge role)
- Assist in onboarding process and client follow-ups
- Social Media Management
- Engage with audiences online
- Create and organise social media content
- Prepare and support live stream sessions
- Admin & Task Support
- General administrative support
- Organise video content
- Manage recurring or ad hoc tasks as assigned
- Team Coordination
- Act as concierge during daily Zoom meetings
- Collaborate with team members (Sally, Jackie)
- Submit daily end-of-day reports
Soft Skills:
- Proactivity and Initiative – should be able to take ownership of tasks, identify issues, and resolve them without constant oversight from Sally and Jackie.
- Strong Communication Skills – will be the first point of contact for clients, so they need to be able to communicate clearly, ask the right questions, and provide a positive customer experience.
- Adaptability and Flexibility – schedule and workload may vary, so they need to be able to adjust as needed and handle changing priorities.
- Attention to Detail – Particularly when it comes to calendar management, inbox management, and ensuring nothing falls through the cracks.
- Confidence and Comfort with Interrupting – should feel empowered to interrupt Sally and Jackie when needed, such as to notify them of an upcoming meeting.
- Willingness to Learn and Ask Questions – shouldn’t be afraid to ask questions if they are unsure about something, as Sally and Jackie want to avoid issues due to lack of understanding.
- Collaborative Spirit – should be able to work well with the broader team and feel comfortable participating in team meetings and discussions.
- Very forthcoming to ask
- EA role, is to “interrupt the client” or not afraid to stand up to the client or Sally
- Willing to work in Zoom with Sally

- (Potentially) Hubstaff – Time tracking and activity monitoring

Minimum Technical Requirements:
Internet Speed: Download: Minimum 50MBPS, Upload: Minimum 20MBPS (will be checked live during your Zoom interview)
Computer Specs: 16GB RAM computer (Windows OS or M1/M2 Mac).
Back up internet (a MUST): Fast internet and Mobile Data (Personal Hotspot)
